General Affairs Administrator (Executive & Workplace Operations)

Temp-to-Hire | $44.00-$50.00/hr (DOE)

Location: Milpitas, CA (home base) with regular Oakland travel

The role

Our client is seeking a General Affairs Administrator to support senior leaders and manage day-to-day workplace operations across Bay Area offices. This role blends executive administrative support with hands-on office and facilities management. You'll keep leaders organized, offices running smoothly, and employees supported-while helping build efficient, scalable processes as the business grows.

This position offers strong ownership, visibility, and growth potential.

What you'll do

Executive Support

  • Manage complex calendars for multiple leaders
  • Prepare presentations, reports, and executive communications
  • Serve as a trusted point of contact for internal and external partners
  • Anticipate needs and resolve issues proactively
  • Provide backup support for other executives as needed

Office & Workplace Operations

  • Oversee daily operations for Milpitas and coordinate support for Oakland
  • Support and guide Office Coordinators across sites
  • Manage office budgets, purchasing, vendors, and facilities services
  • Lead space planning, office moves, and workstation setups
  • Create and maintain SOPs to ensure consistent operations

Facilities, Events & Travel

  • Coordinate building operations, maintenance, and vendor contracts
  • Plan meetings, team events, and company gatherings
  • Arrange domestic travel for executives and employees
  • Partner with People/Comms on culture and employee engagement initiatives

Financial & Administrative

  • Process expenses accurately and on time
  • Track budgets and identify cost-effective improvements
  • Maintain organized, audit-ready documentation

On-site & travel

  • Regular on-site presence in Milpitas (includes front desk coverage)
  • Routine travel to Oakland; occasional travel to Sacramento

What you'll bring

  • 3-5 years of experience supporting senior leaders
  • Background in office operations, facilities, or multi-site administration
  • Strong organizational skills and calm prioritization
  • Polished written and verbal communication
  • High emotional intelligence and service mindset
  • Advanced Microsoft Office and collaboration tools experience
  • Bachelor's degree preferred or equivalent experience
